RIDEAU LAKES ARTISTS ’ ASSOCIATION

PURPOSE

The Association is a non-profit organization dedicated to the support and development of its members who are actively involved in producing original, two-dimensional art works and who reside in the Rideau Lakes region.

 

 

MEMBERSHIP CRITERIA

 

 

Any artist residing in the Rideau Lakes region (Westport, Perth, Kingston, Brockville, even beyond), novice or professional, who wishes to be a member of an organization actively involved in visual arts through critiques, workshops, seminars, shows, exhibitions, in-house and out-of-doors group painting gatherings, access to a current library, gallery visits and other artistic development activities.

 

 

TERMS OF MEMBERSHIP

 

 

- Fees will be collected on an annual basis for the year January to December. People joining RLAA after Oct. 1 will not pay for that year.

- Members are expected to attend at least 30% of the meetings and to participate in developmental programs.

 

 

- Members are encouraged to be actively involved in a committee of their choice.

ORGANIZATION STRUCTURE

 

 

EXECUTIVE

 

 

President (term: two years)

 

 

- Chairs the meetings (general and executive);

 

 

- Reports new business; interacts with the community;

 

 

- Attends committee meetings;

 

 

- In the event of a tie vote, makes the final decision;

 

 

- Is one of three cheque co-signers.

Vice-President (term: two years)

- Takes over in absence of President;

 

 

- Co-ordinates major projects or special assignments as required.

 

 

- Is one of three cheque co-signers

 

 

Past-President

 

 

- Any special assignments;

 

 

- Chairs nominating committee.

 

 

Treasurer

 

 

- Records financial transactions and reports at meetings;

 

 

- Handles banking, writes and is one of three co-signers of cheques with the President or the Vice-President.

 

 

Secretary

 

 

- Reads and records minutes at meetings;

 

 

- Handles correspondence;

 

 

- Custodian of records.

 

 

COMMITTEE CHAIRS

 

 

Membership

 

 

- Collects membership fees and issues membership cards;

 

 

- Keeps records of attendance and registration forms.

 

 

Nominating Committee

 

 

- Ensures all executive and chair positions are filled and communicates with Executive if any positions require filling.

 

 

Show

 

 

- Organizes and oversees all aspects of shows;

 

 

- Retains copies of number of entries, sales, etc. for future reference.

 

 

- Rotating Venue Shows: (restaurants, etc.)

 

 

- Organizes changing of paintings as needed at each venue;

 

 

- Keeps a record of artists and works on display;

 

 

- Reports on sales to Treasurer.

 

 

- Publicity

 

 

- Handles publicity for shows, etc.;

 

 

- Arranges for printing of signs, brochures and press releases.

 

 

Social

 

 

- Arranges refreshments for meetings;

 

 

- Organizes committee for special events.

 

 

Program

 

 

- Arranges programs for the general meetings;

 

 

- Organizes workshops, courses, gallery visits and other developmental activities;

 

 

- Liaises with visiting instructors.

 

 

Library

 

 

- Organizes and catalogues books and videos for members use and makes materials available to members.

 

 

Call

 

 

- Organizes district "callers" to call members as required.

 

 

Newsletter

 

 

- Produces a newsletter periodically;

 

 

- Encourages input from members.

 

 

(Note: All committee chairs are expected to enlist a co-chair and members to work with them on their respective committees. The list of committee members shall be submitted to the President early in the new year.)

 

 

COMMITTEES

 

 

MEMBERSHIP COMMITTEE

 

 

- Receive applications, collect fees, issue membership cards and record attendance at meetings.

 

 

- Prepare and provide to each member a membership list. These lists will include member names, mail and e-mail addresses and telephone numbers.

 

 

(Note: Members are encouraged to bring their lists to each meeting to record updates reported by the Membership Committee.)

 

 

NOMINATING COMMITTEE

 

 

- The committee is composed of the Past-President and one other appointed member.

 

 

- Each November the committee will contact each member of the Executive and the chairs of all committees to ascertain who is willing to continue in their position for another year (the President and Vice-President are two-year terms) and will then relay this information to the Executive.

 

 

- At the December R.L.A.A. general meeting the Executive will present the resulting slate of officers. Elections will then take place.

 

 

- In January the new Executive and committee chairs will assume their responsibilities.

 

 

SHOW COMMITTEE

 

 

GENERAL

 

 

- The Chair of the committee organizes and oversees all aspects of shows, retains records, copies of entries, sales statistics, etc. and ensures biographies are current.

 

 

RULES

 

 

- An exhibitor must meet all membership criteria, including attendance at 30% of meetings. New members need to have attended only one monthly meeting in the year of the show.

 

 

- Exhibitors are expected to help with some aspect of the show as designated by the Show Committee.

 

 

- All work must be original.

 

 

- All work (framed and unframed) must be suitably mounted and must meet conservation framing standards.

 

 

- The Show Chair will be the final judge where works fail to meet standards and will decide whether or not a work will be hung.

 

 

- R.L.A.A. is not responsible for the theft, loss or damage of any work, even though it is committed to due care and safeguarding.

 

 

SOCIAL COMMITTEE

 

 

- The committee arranges refreshments for meetings, organizes committees for special events and ensures kitchen facilities are clean and orderly.

 

 

- Members are encouraged to bring their own cups to meetings. However, if members use utensils, they must clean them and return them to their appropriate place.

 

 

PROGRAM COMMITTEE

 

 

GENERAL

 

 

- The committee develops and proposes an annual program for approval.

 

 

- It also arranges programs for meetings, organizes workshops, seminars, art classes and gallery visits and other developmental activities.

 

 

- The Chair liaises with visiting instructors.

 

 

RULES

 

 

- Members are encouraged to participate and contribute to the meeting programs.

 

 

- Workshops and classes are limited in number of participants and are on a first-come, first-paid basis.

 

 

- Fees for programmed events are required two (2) months in advance.

 

 

LIBRARY COMMITTEE

 

 

GENERAL

 

 

- The committee organizes and catalogues books and videos for members use.

 

 

- It makes materials available before and during monthly meetings on a regular basis.

 

 

- The committee accepts donations, recommends purchases and proposes removal of material from the Library.

 

 

- An inventory is prepared every two years and a copy is made available to each member.

 

 

RULES

 

 

- Items may be signed out for a maximum of one (1) month.

 

 

- Only two (2) items may be borrowed at one time, including only one (1) video.

 

 

- Please sign items out accurately and check your name off when returning items.

 

 

CALL COMMITTEE

 

 

- The committee normally activates on request of the Executive, calling members about special circumstances.

 

 

NEWSLETTER

 

 

- Provides members with information regarding events (approximately 3 times per year) to encourage member participation in all aspects of Association activity.
